Printing Rollsheets
Rollsheets are designed to be printed prior to each meeting after the previous meeting's attendance and visitors have been entered.
There are several ways to create roll sheets:
-
For an entire Division and Schedule
-
For a single Organization
-
For Small Groups within a single Organization
-
For an entire Program (with or without a Schedule)
NOTE: Organizations must have a schedule in order for you to print rollsheets from the Organization Search page. Otherwise, you can print from the Organization itself with an ad hoc schedule.
Printing rollsheets for an entire Division and Schedule:
-
Go to the Organization Search page
-
Select the Program, Division and Schedule (If you do not specify a Schedule, the date on the rollsheet will default to the current date and the time will default to 8:00 AM)
-
Click Search
-
Hover over Exports and Reports and click Create Rollsheet(s)
-
Verify the Meeting and Time (it will default to the next date based on the Schedule)
-
Click Create
-
The rollsheets will open in a PDF file
-
Print from the PDF Toolbar
Printing rollsheets for a single Organization:
-
Go to the Organization
-
From the Toolbar, select Rollsheet Report (under Reports)
-
Verify the Meeting Date and Time, make changes if needed
-
Click OK
-
The rollsheet will open in a PDF file
-
Print from the PDF Toolbar
Printing roll sheets for Small Groups in a single Organization:
-
Follow steps 1 - 4 above
-
After verifying the date/time, check the box By Group
-
This will generate a rollsheet for every small group with the name of the Organization and the Small Group in the header.
-
NOTE: Some organizations have different types of groups, with members in multiple groups. The Rollsheet report will sort by Small Group name, so if the groups have a different prefix to designate the type of group, you can print only the pages for the groups you want, as they will all be grouped together.
-
Click OK
-
Print as above
Printing rollsheets for an entire Program (with or without a Schedule):
-
Go to the Organization Search page
-
Select the Program and Schedule (If you do not specify a Schedule, the time on the rollsheet will default to 8:00)
-
Click Search
-
Hover over Exports and Reports and click Create Rollsheet(s)
-
Verify the Meeting and Time (it will default to the next date based on the Schedule if you selected a Schedule)
-

-
The rollsheets will open in a PDF file
-
Print from the PDF Toolbar
Rollsheets print with a small bar code beside each name to allow for scanning attendance with a wand scanner. However, attendance can easily be entered manually as well. See Recording Attendance for instructions.
FAQs re rollsheets:
-
Will visitors print on the rollsheets?
-
Yes. the visitors will print at the end of the alpha list of members on the rollsheet and will be in bold type. This is one reason why you do not want to print rollsheets for more than one meeting at a time.
-
How long will visitors continue to print on the rollsheets after they visit?
-
This is based on the Visitor Weeks setting in the organization. To set this, go to the Settings-Attendance tab for the organization, and in the field labeld Rollsheet Visitor Weeks, enter a whole number for the number of weeks for a person's name to print after their last visit to that class. Most classes are set at either 4, 5 or 6.
-
If I will be scanning attendance, do the boxes need to be filled in completely when the attendance is marked?
-
No. You will actually scan the bar code, not the box.
