Kiosk Registration

There is a setting on the checkin software that allows for registration for events such as Vacation Bible School, Conferences, or other special events. This uses the same hardware that you would use for regular checkin - touchscreen monitor and a label printer, if you want labels. We have used the kiosk mode to register children for Vacation Bible School who arrive the first day not having pre-registered. We have also used it quite effectively for large conferences for which we have done pre-registration, but also allow people to register the day of the conference. In both cases, we need to enroll them and capture more information than you would normally get in a standard checkin scenario. Also, we need to be able to capture this information the most efficient way possible.

In order to use the kiosk registration, the organizations into which you are registering (enrolling) people must have the setting “Allow kiosk registration” checked. Also, if you plan to print labels, enter the number needed in the same field in which you enter the # of labels for checkin.

Here are some features that can be used based on the settings you select when you start checkin:

  • Ask Emergency Friend – name and phone #
  • Ask about Allergies
  • Ask if they attend Church
  • Ask the Church Name

Here’s how this would work for children registering for VBS:

  • Enter the phone # for the child
  • If found, and they are not enrolled press the ‘magic button’ to activate the Menu
  • Select Edit and then enter any missing information and verify the existing information (remember, addresses and phone #s change and this is the perfect opportunity to ensure that we have their correct information)
  • Press Finish on the last Edit screen
  • Press the ‘magic button’ again and now select Join
  • Find the correct class (for VBS, you will want to notice the # of members already enrolled so that you don’t overload the classes. It is the # in parentheses after the birthdate range.
  • Press the ‘magic button’ once more and then select Print Label (the labels will begin to print at that point)
  • Now press the green Complete button, without marking them present (See Workflow below.)
  • The parent will take one label to the classroom & give it to the teacher to place on the rollsheet and keep the other label.

NOTE: If you do not find the child by using the phone number, press 411 from the number pad and search by name. If you find a family member, select that person, then use the Menu to Add to this Family. Then follow the procedures above to find the class, etc. If you do not find a family member, press the ‘magic button’ and Add New Family. Proceed as above to find the class, etc.

Workflow

Here is the Workflow for registrations such as VBS, in which you are enrolling children in a class the day of the event but are not checking in all the children (for most churches, the volume of children will be greater than the number of available kiosks can accommodate for checkin as the children will all be attending a the same hour) -

  • Follow the above procedures at the kiosk to enroll in a class those children who did not pre-register.
    • Do not press the blue box to mark them present as they sometimes end up in a different classroom after leaving the kiosk (they see a friend or neighbor & want to be with them).
  • After the rollsheets are returned to the office, the office staff will record attendance for those listed on the rollsheets using the wand scanner.
  • Those children who have labels on the rollsheet will be in the list of members on the computer because they were enrolled that morning. Manually mark them present.
    • If the child is not listed, the label will have a different class name printed on it than the class name on the rollsheet. In that case, go to the child’s enrollment record, click the Member link to open the Member Dialog and Move the child to the correct class (that is, the class on whose rollsheet their label is affixed). Then go to the class’ meeting and mark them present.
